Meet the AAC Team

By unanimous vote, this month we’d like to highlight Ben Starkie, our CEO and head honcho at AAC. Ben joined AAC in 2020, after completing a large-scale international implementation of Aderant at his AmLaw 25 firm where he was the Accounting and Compliance Manager. We knew he was here to stay when he met that challenge head on and wanted to do it again. And again. And again. Ben is a CPA, and a graduate of both University of Alabama (go Red Tide) and Auburn (M.B.A.). At the beginning of 2023, Ben took over the leadership role of AAC, grabbing the baton and running with it.

Ben has his secret weapon, Lindsey, by his side, and three amazing kids – George (10), Sport (7) and Eleanor (6). If George decides not to pursue a career in the NFL or NASA, you may well see him at AAC someday, with his two siblings right behind him. Lindsey has a vital role in the company, and, in a short time, has become the face of AAC at many events. If they actually had any spare time, Ben would be on the links and Lindsey would be spending more time perfecting her culinary skills.

We all love working for and with Ben and Lindsey (Ben is Beth’s first boss in 27 years so that is a solid testament). They are working hard to build lasting client partnerships and grow AAC with great people. Ben and Lindsey’s energy and commitment to AAC give us all great hope for a very long future for AAC.

Looking Forward

Later this month, the AAC team is gathering for a three-day retreat to plan for 2024. If we can say so ourselves, we have some GREAT IDEAS FOR 2024 for all of you, including:

  • Expanding our robust set of Service Bundle Offerings, based on feedback from you, our clients
  • Enhancing the Touchstone experience to include more reporting options
  • Increasing our catalog of course offerings, with both functional and technical sessions, delivered in a variety of formats
  • Introducing a “script vault” of frequently used (and fully documented) SQL scripts for client use

Please stay tuned for news updates early next year – we hope you will be as excited as we are!

Financial Statement Dashboard

Our Financial Statement Dashboard represents years of client requests our accountants here at AAC have received. Balance sheets or P&Ls by company? Financial statements by employee or by tran currency? Include/exclude FCA entries? The dashboard lets you slice and dice details with robust filtering options. The financial statements are designed to dynamically reflect chart of accounts changes. You can easily drill from summary to journal entry detail. And when all else fails, there is always the essential export to Excel functionality (of course).

Open AP Report

Finally, a detailed reconciliation report for Unpaid Client Disbursements, as a part of the Accounts Payable subledger. This balance sheet account, often overlooked, is part of our month-end balancing suite. Over the years, we have written numerous versions of this balancing script. We finally bit the bullet and turned those one-off scripts into a fully functional SSRS report which accounts for all open AP. It is now available for your balancing pleasure (some people get excited about these things).

What Just Happened?

It's frustrating when things don't work as expected, especially when it comes to missing imported data. This can cause a flood of emails and confusion, especially if you're not familiar with the time import process. To avoid this, it's essential to understand SQL maintenance jobs, import tasks, and monitoring. Do you like your Financial Statement Package?

One of the critical tools of any finance team is the Financial Statement Package. The functionality of that package is also essential. AAC has a robust Financial Statement Package where your trial balance can easily be exported to Excel, drill through from summary to detailed journal entries, have financial statements that are dynamic with Chart of Account changes, and no need to duplicate work in Financial Statement Formatter. Do you really have a backup?

One of the most important rules of disaster recovery is to make sure you have tested your backups before relying on them. Testing your backups is the only way to make sure they will be available when you need them. It's essential for your IT team to manage the disaster recovery process for all the systems the company uses, and it's useful for the CFO to know when it's being done. We have seen companies unable to restore a recent backup, or the backup needed significant changes to the server environment to be usable. Testing is the key to ensuring your backups work as expected in a disaster.

Did You Know?

Clean out the fridge!

Much like that sketchy unmarked tub on the bottom shelf that no one wants to touch, you might have a stale development or training Aderant environment lingering - the data is at least a year old and contains random remnants of unfinished test projects. Worse yet, no one knows exactly how to refresh the environment with a new copy from production. Don’t worry, we’re not here to shame you, we’ve seen it all!

Reach out to AAC so we can assess the status of the environment and help with cleanup. We can do a differential compare to look for changes in the old environment that might need to be saved, and can work through the procedures to get that data all freshened up with a new database copy.

Expert General Ledger – what can we use it for today?

Have you looked at Expert GL? Although it is not 100% migrated from Classic to Expert, the module provides new functionality that you can take advantage of today, such as a Journal Entry import/export wizard, configurable list screens, grids, and saved user preferences. In addition, improvements to the Bank Reconciliation have been developed for Expert General Ledger, including importing status updates from Excel and improved matching functionality. AAC Remembers

The news of the tremendous loss within the AAC Family has reached many of you by now. Mike Easterling, our Director of Development Services, passed away suddenly on May 14th.

Easterling, as Mike was known within AAC, was our rock and our biggest supporter for over twenty years. We will miss his gentle spirit, his brilliance, and his kindness. He was a natural born teacher and spent countless hours mentoring his team.

Mike was loved within the AAC community and beyond. We are all grateful for the outpouring of support from our clients and are touched by the many reach outs. He will be deeply missed by all.

Cash Receipt Import

Do you need to import a cash receipt payment file provided by your lockbox service, a client, or an internal spreadsheet? And take it a step further by applying receipts to bills as full or partial allocations? To assist with these efforts, AAC has developed a customized tool to import your receipt data and allocate payments to outstanding invoices. Our solution utilizes a number of methods, such as Apply to Oldest First, Save as Unapplied Cash, Post if Exact Match, or Create Stub Receipt for Manual Allocation. Additional options can also be applied to assist with allocating to Trust or GL for non-client receipts.

The U.S. Department of the Treasury posts and updates regular Sanctions Lists that you should be including with your conflicts checks. If your method for keeping up-to-date isn’t solid, AAC can help you with a solution that pulls in the updated lists daily so they can be included in your normal Aderant Browser Conflicts search procedure. There’s a new list out as of 2/28/2022 that can be downloaded or searched manually at the treasury.gov website if you search for OFAC SDN in your web browser.

This year’s theme is gratitude. We are grateful to each and every one of you for continuing to believe in our team. We are especially grateful for the 25+ years of friendships we have with so many of you (yes, it has been that long). We appreciate the projects that you continue to send our way that keep us on our toes and push our skill sets. Heartfelt thanks to you all!
We are grateful that we all made it through another year of meetings on screens filled with Zoom squares, Teams circles, and the like. We certainly miss sitting around the conference table and being able to brainstorm solutions in person. But when everyone comes together to make it work, no matter the environment, we have seen that anything is possible.
I am personally very grateful to be working with an amazing team of individuals who have become more family than colleagues. We added a few new faces this year, somehow growing to a team of 40- strong. Not a day goes by that I don’t thank my lucky stars that we all found each other.
We cannot wait to be together again. In the meantime, here’s to a safe and healthy New Year!

Expert General Ledger is one of the new modules that many firms tend to overlook. Although it is not complete, the module still provides useful functionality, such as Journal Entry import/export wizard, configurable list screens and grids, and saved user preferences. In addition, Bank Reconciliation has been developed as part of this module, providing improved information matching between Aderant and the bank as well as the ability to import new statuses from Excel. Did You Know?

OFAC SDN Conflict of Interest

Specially Designated Nationals (SDNs, a.k.a. "the terrorist list"), FSE and other lists from the Office of Foreign Assets Control within the U.S. Department of Treasury are published and updated routinely and should be searched before taking on new clients to help prevent non-compliance. AAC can provide a solution that will download and update your local lists daily to ensure you have the most up-to-date information.
